ATS Guide

A comprehensive guide to managing your hiring process with FluxHR — from creating vacancies to analysing hiring performance.

Dashboard Overview

When you log in to app.fluxhr.com, you see your Dashboard — a real-time snapshot of your hiring activity:

Use the sidebar to navigate between Vacancies, Candidates, Settings, and other sections.

Create a Vacancy

A vacancy represents an open position. Each vacancy has its own hiring pipeline, sourcing channels, and candidate pool.

  1. Click "+ New Vacancy" in the sidebar or on the dashboard.
  2. Fill in the required fields:
    • Job title — the position name (e.g., "Senior React Developer").
    • Department — e.g., Engineering, Marketing, Sales.
    • Location — city and country, or "Remote".
    • Employment type — Full-time, Part-time, Contract, Internship.
  3. Add a job description — rich text editor with formatting support.
  4. Optionally set a salary range and required skills.
  5. Set the status to Published to enable sourcing.
Tip: Published vacancies appear in the Chrome extension's dropdown, so your team can add LinkedIn candidates directly to them.

Hiring Pipeline

Each vacancy has a Kanban-style pipeline board where candidates move through stages:

  1. Applied — new candidates land here.
  2. Screening — initial review of resume and qualifications.
  3. Interview — candidates being interviewed.
  4. Offer — offer extended, waiting for response.
  5. Hired — accepted the offer.

Moving Candidates

Drag and drop candidate cards between columns, or click on a candidate and use the "Move to" dropdown to change their stage.

Custom Stages

You can customise pipeline stages per vacancy or globally in Settings → Pipeline Stages. Add stages like "Technical Test", "HR Interview", or "Reference Check".

Managing Candidates

The Candidates section shows every candidate across all vacancies and your general talent pool.

Add Candidates Manually

Besides the Chrome extension, you can add candidates directly in the ATS:

  1. Go to any vacancy or the Candidates section.
  2. Click "+ Add Candidate".
  3. Choose a method:
    • Manual entry — fill in name, email, phone, and other details.
    • Upload resume — drag and drop a PDF/DOCX. FluxHR will parse it automatically.
    • From LinkedIn — opens a guide to use the Chrome extension.
  4. Click "Save" to add the candidate.

Interviews & Feedback

FluxHR helps you streamline the interview process with structured feedback and AI assistance.

Schedule an Interview

  1. Open a candidate's profile.
  2. Click "Schedule Interview".
  3. Set the date, time, and interviewer(s).
  4. Optionally add interview questions or an evaluation scorecard.

AI-Generated Feedback

After an interview, paste the transcript or notes and click "Generate Feedback". FluxHR's AI will create:

Sourcing Channels

Each vacancy has a Sourcing tab where you can distribute the job listing to multiple channels:

Note: To post to LinkedIn, you need the FluxHR Chrome extension installed and signed in.

Analytics & Reports

Track your hiring performance with built-in analytics:

Access analytics from the sidebar under Analytics.

Billing & Plans

Manage your subscription from Settings → Billing.

Your trial countdown is visible in the top bar. Upgrade anytime before it expires to keep all your data.
